Have you been thinking lately about going paperless in your business?

I can say now with confidence that we can efficiently operate our business with only our mobile phones. Thanks to going completely digital and paperless. In other words, we scan every document we get in our business and properly file and store on the cloud.

We have no paper file boxes, no filing cabinets, no heaps of papers in the in-tray on our desks.

And using good search tools, I can find any document or file I have within seconds. Further in this article, I will talk about search tools for storing your digitized information.

So finding ways to cut costs while managing the day-to-day aspects of a business is an ongoing difficult task for many business owners and in today’s work environment it is constantly evolving.

Staying up to date with the latest strategies is essential to the success of your company.

And this suggestion to go paperless will dramatically reduce your expenses and improve efficiency in the workplace. Creating a digital work environment eliminates the need for paper, which will make a big impact on your business in a variety of ways.

Here are a few of the top reasons why going paperless can improve your business operations.

Quick Navigation Links

Section 1

Increases Efficiency

Reduces Costs

Simplifies Tasks

Section 2

How to go paperless

Service providers that can help you go paperless

Critical for businesses adopting a Hybrid Work Model

Section 3 bonus

Recommended Search tools and Cloud storage

SECTION 1

Increases Efficiency

Number one reason to go paperless. It increases efficiency. There is no doubt searching for a document online can be fast and immediate versus walking to a file storage room, leafing through file folders, and examining papers.

Documentation is a key aspect of managing any business.

Keeping up with all of these documents is essential to staying in compliance with various laws while also helping you manage your business operations. However, trying to store and organize all of these paper documents can quickly become an overwhelming task for many companies.

Using a paperless solution is a great way to maximize efficiency in the workplace while also saving you a lot of storage space. You can easily store and upload all of your documents online, which makes everyone’s job much easier.

Reduces Costs

Another advantage of using a paperless solution in the workplace is that it helps keep costs to a minimum.

Eliminating the need for paper allows you to avoid other expenses, such as getting new printers, purchasing storage cabinets, and buying new ink. Reducing the need for these items can save your company a lot of money over the long term.

Keeping all of your documents stored on the cloud also improves accessibility, making it possible for employees to work much quicker, which saves your business even more money.

Simplifies Tasks

Choosing to go paperless also simplifies many tasks for your employees.

Instead of constantly searching for invoices or receipts, an employee can quickly search for this information in an online database. Keeping your data stored in the cloud also benefits remote employees, as they can remain productive at home without having to travel to the office.

All it takes is a few clicks of a button to get the information you need without having to keep track of countless paper documents.

SECTION 2

How to go paperless

This will be dramatically different between businesses in terms of size and scale, however, the main principles are the same.

Create a proper structure for file folders and naming conventions for your cloud storage.

Create policies of who will do the digitizing of papers, authorizations and rules amongst your team

Invest in high-speed scanning machines that can digitize documents into pdf file formats and can scan double-sided multi-page documents. Take images of items like checks, official documents, cards etc.

If you are a small business, this means creating a physical document file tray where you act on each paper document that comes across your desk.

You scan it, then either act on it, file it, or shred it.

Service providers that can help you go paperless

There are service providers that can help you digitize your business. If you find the right one, they can even provide a virtual office address where you can receive your postal mail.

The service provider will collect your mail, then confidentially open and scan all your documents. Then send to various individuals or departments based on your rules.

So subscribing to this service can help you continue to go paperless and digitize your documents for you and save even more time.

Critical for businesses adopting a Hybrid Work Model

If you are like many companies post-pandemic that are exploring or adopting the Hybrid Work Model and a Work-from-Home strategy for your employees, then adopting a paperless office and digitizing your letter mail is critical.

You may not have a physical office any longer, meaning no rooms with paper documents and files. You probably will not want company mail and documents going to your employee’s personal residences and your physical company documents residing in residential homes and apartments with unknown security or policies.

So routing your physical letter mail and documents to a centralized and secure workspace, then managing the digitization and storage of documents will become necessary and critical in the Hybrid Work Model.

SECTION 3 – BONUS

Recommended Search tools and Cloud storage

This section is very short because I will recommend any company or organization to look into Google WorkSpace for sharing documents, cloud storage for files and best of all, the Google search tools for finding your documents online.

In Summary

Going paperless offers immense benefits for organizations small and large.

Reducing the need for using paper increases employee efficiency, reduces costs, and simplifies tasks for remote workers.

Using digital documents is also beneficial to the environment due to the less demand for paper.

Finding different ways to limit costs and improve efficiency is always a top priority in the workplace, as now is one of the best times for your business to consider going paperless.

We did it! We recommend you do it!

Remote Work, Virtual Office, and the Hybrid Work Model have been topics of conversation in recent years but Covid-19 pushed them into the worldwide spotlight.

Gone are the days where commuting each morning to work in an office is necessary.

Harvard Business Review writes “‘We are embarking on a work-life shift.’ one that, if we can get it right, will allow us to make our work lives more purposeful, productive, agile, and flexible.” * (Harvard Business Review May-June 2021)

What is that shift? It’s the Hybrid Work Model and Virtual Offices. Companies, employees, and entrepreneurs of all sorts can benefit from transitioning to a Hybrid Work Model.

What benefits does a virtual office provide? How doe the hybrid model improve productivity? Keep reading to find out!

Follow The Trends: Gig Workers, Remote Workers And The Great Resignation

Work has evolved rapidly throughout the last 100 years. The location, cultural norms, and work ethics of individuals and companies have changed with these new trends.

Take a look at a few of the most influential trends in the last few years.

Gig Workers And Remote Work

Workers are beginning to prioritize their freedom and values over fear of not having a paycheck.

Chetan Seghal, BDO Canada Partner states “It’s really an employee’s market…” he goes on to say “it’s about reimagining how work gets done… and what tools you need…to help your employees thrive.”

But not everyone who quit immediately took a job with another company. During the Covid-19 pandemic, many individuals had more time at home. The Future Of Entreprenuership in Canada report found this to be one of the reasons entrepreneurs started their businesses during the pandemic.

Creative freedom, flexibility, and more income were some of the top reasons these entrepreneurs chose to start a business.

Gig Workers And Freelancer Statistics

Many individuals also chose to work as freelancers or “gig workers”. There has been a slow but steady upward trend of freelancers over the last 10 years. Gig workers now account for 1 in 10 individuals in Canada and over 35% of Canadian businesses hire gig workers. *

45% of these gig workers are self-employed and 25% of them make $40K or more a year. Many of these freelance workers live in urban areas and are between 18-34 years of age.

However, individuals of all ages are turning to gig work, 8% of gig workers in Canada are over 55 years of age.

The majority of gig workers prefer to be paid through INTERACT e-transfer within 1-5 days of the contract being completed.

Statistics sourced from: Canada’s gig economy has been fuelled by the pandemic – but workers and businesses are challenged by payments mismatch

The Great Resignation

It’s no secret that we are facing an employee shortage. As you drive, its common to see “We’re Hiring!” signs everywhere. So, where are the employees?

Well, in simple terms, they quit.

With the wave of resignations in the last couple of years, job positions have been opening up right and left. In the USA, over 4.3 million individuals resigned in November 2021. In Canada, we have 80% higher vacancies than what we saw in 2019. *

And with these higher quit rates, we are seeing a rise in the number of self-employed individuals. *

This has been dubbed “The Great Resignation” and it will change the future of work as we know it.

Companies See The Need To Change

Many companies have been forced to redesign their work spaces and adjust how they approach work. Employees have started working from home whenever possible.

Covid-19 forced their hand, so companies started to have their employees work at home. Now many employees would prefer to work from home.

In response to their employee’s changing preferences and values, companies need to rethink their approach or they risk high turnover and employee dissatisfaction.

One such company, Fujitsu, has taken these changes in stride. As a multinational tech company, Fujitsu, has expressed their goal of creating flexible borderless hubs. This allows employees to work from home, meet at a hub to collaborate with their team, and invite clients to hubs.

These hubs will allow coordination opportunities online and face to face. These offices also help employees counteract the isolation experienced when working from home.

Fujitsu is not the only company making these changes, Microsoft, Twitter, and Apple are all looking into implementing hybrid strategies. *

Companies such as Amazon and Google have suggested 2-3 days working at their physical offices for certain employees.

As employee’s needs and values change, companies must adapt.

Four Virtual Office Trends Of 2021 And 2022

As the virtual office becomes more popular trends arise. Four of those trends in 2021 include using a Virtual Office Address, using a Digital Mailbox, hiring a Virtual Assistant and Coworking Spaces.

The trends mentioned are gaining noticeable popularity in 2021 and 2022.

Using A Virtual Office Address

During Covid, many businesses had to abandon their physical offices permanently or for extended periods. Not wanting all their business mail to arrive at their empty office or personal residence, these businesses turned to virtual office addresses.

A virtual office address is used increasingly by individuals who run an online business or work from home. A virtual office address provides security and saves the professionals time and energy.

A virtual office address can also provide dedicated business phone numbers. These numbers can be programmed to forward calls to your cell. You can also use an automated response system.

These virtual office addresses can be linked to a business credit profile and used to apply for funding.

Using A Digital Mailbox/Mailroom

A digital mailbox can save entrepreneurs and businesses time and energy. Imagine having all of your business mail delivered to your front door each day! For many, that is not an appealing idea.

With a monthly subscription, users can have their mail collected, organized, scanned, saved on the cloud, forwarded to their personal address, and so much more!

This allows individuals to receive a notification when they have received mail. They can then view a picture of the mail and have it trashed, opened, or forwarded to them directly.

Coworking Spaces

Coworking spaces are not a new concept, but they are receiving more attention in the last couple years. While the virtual office provides great flexibility and control, there are downsides.

With more individuals working from home feelings of isolation are increasing.

Employees and individuals of all backgrounds can benefit from interacting and collaborating with others. Just getting out of the house for a day to work at a cafe can give someone a boost.

So it’s no surprise that coworking spaces are more in demand. These are locations that can be rented out or subscribed to. You can choose to pay monthly fees or a one time day-pass to have access to these spaces.

These coworking hubs provide flexible designs that meet a variety of needs and circumstances. These centers may provide single offices, coworking spaces, different sized meeting rooms, soundproof rooms, and single privacy pods for meetings and phone calls.

Office centers arent the only places redesigning space for work. Some cafes and restaurants are providing privacy pods where individuals can have meetings and phone calls in silence.

One office space designer, Mark Phillips comments that demand is growing for ‘destination workplaces’ – places where “people want to work.”

Hiring a Virtual Assistant

Virtual assistants, also known as “VA’s” or sometimes “personal assistants,” are becoming a staple in many business operations and especially in a Virtual Office or Hybrid work model.

Whether you’re short on hands or just want to free yourself from menial tasks, there are benefits to hiring a virtual assistant.

For more on this subject, read this article on 7 Benefits of Hiring a Virtual Assistant that will free your time

What Is A Virtual Office?

Well, it’s simply taking what you had with a physical office and making it virtual.

One example would be meeting rooms. Meeting rooms used to be a set physical location in your office where employees had to physically show up to. Now it’s a Zoom screen.

Offices used to have a printer room, but now you scan and make digital copies and store them on the cloud.

What used to be a physical room in your office to receive mail – now can be a Virtual Business Address that you subscribe to and a mail service provider handles your mail, digitized the letter mail, distributes and stores on the cloud.

A virtual office aims to take anything you physically need in an office and provide it virtually.

History Of The Virtual Office

A virtual office isn’t really a new concept. Working from home predates the Industrial Revolution. Before working a 9-5 was the norm, craftsman and professionals of all types simply worked from their residences.

The virtual office is another step forward in improving how we work. Businesses and entrepreneurs now have the option of a virtual office with much lower costs than a traditional executive suite.

Starting in the mid-20th century, professionals of all sorts began to examine and rethink work. With new technologies and eventually the internet, reimagining the office became possible.

Take a look at some important milestones:

1962 – OmniOffices Group created, the first serviced office company.

1979 – Work from home begins to be challenged, one such challenge was from a Washington Post article.

1983 – The term ‘virtual office’ was coined by Chris Kern. He used this term when describing doing business on the go.

1990’s – Studies began to be conducted to ascertain the benefits of working from home, one such study was the Federal Flexible Workplace Pilot Project.

2000’s – U.S. Consensus find thats working from home is on the rise.

2010 – U.S. Teleworks Enhancement Act requires companies make allowances for certain employees to work from home.

2020 – The “Great Recession” millions of professionals begin to rethink their work.

As you can see, virtual and remote work milestones have closely followed technological advancement.

Coworking Spaces And Virtual Reality

Virtual offices are also related to coworking spaces in some ways. As an emphasis on flexible locations and productivity has increased, so has the use of coworking spaces.

Coworking spaces offer appropriate locations for teams and professionals to use on an as-needed-basis.

Another trend that is exciting professionals is virtual reality technology. This tech may soon be widely used in virtual offices. The potential of this technology is impressive, it allows for individuals to meet and work side by side from two separate physical locations.

This technology could improve collaboration, innovation, and communication! *

Pay attention to the advancements we will soon see with VR remote work!

Technology’s Role In Remote Work

Technology has played a huge role in the emergence of virtual offices. It is the foundation of a virtual office.

The internet, mobile devices, and the programs we have access to allow an individual to work from almost any location on Earth.

Consider some of the tech we use in a digital office:

High-Speed Internet

Online Phone System (VoIP)

The World Wide Web, Website Domains, and Email Addresses

Instant Message, Chat, and Other Web-Based RTC Platforms

Video Conferencing, Including Webinar-Hosting, or Screensharing Platforms

Green Screen Technology and Virtual Backgrounds

Online Digital Storage

Cloud-Based Applications And Office Programs (e.g. Google Docs, Sheets, and Slides or Office 365)

Automating Tasks (Autoresponse, Publishing Content, Communicating With Clients…)

The list could go on and on but you get the point. The software and programs we now use are technological marvels.

An entire team would be writing on the same document, while on a Zoom call, while their content is being automatically published by a content manager. And they could be doing this from the comfort of their own home or from a beach in Thailand😉

The potential of this technology is astounding!

Company Culture

Building a good company culture and improving trust and cooperation are vital to a businesses success.

There are two things that I have found extremely helpful in building company culture.

Create ritual/habits that you implement into your day to get ready for work, connect with colleagues, and end your workday.

Take the initiative to be helpful, self-sacrificing, and respectful, especially as a manager or superior.

Create Routines/Habits To Transition In And Out Of Work Mode

Create a ritual that helps you transition between your personal space and your work mode. When you get up, don’t just walk from your breakfast table direct to your work desk and begin working.

Dont just grab a coffee and sit down to immediately work. When you wake up in the morning, your cortisol spikes. This is your stress hormone.

Caffeine can raise your cortisol levels increasing stress and anxiety. * Not the best start to your day. I am not saying do not drink coffee, not at all!

However, there are benefits to creating a morning routine where you properly balance your hormones and avoid spiking your stress hormones.

You could add some of the following things into a personal morning routine:

Have a smoothie or small breakfast before your morning coffee.

Take a morning walk around the block, stretch, or exercise.

Some people practice deep breathing or take an ice bath.

Others take a few minutes to journal or meditate.

When you’re ready to transition into work mode:

Get dressed as you would if you worked in the office.

Grab your tech and supplies or go to your office (home office or coworking space).

Read through a goals list to review what you are doing at a high level.

After you complete your personal morning ritual, you are ready to get to work and your mind and body are prepared to be productive and focused. Each person’s ritual will look different, find what works for you.

At the end of the day, create a similar ritual. Organize your desk, get out of the house, and/or exercise. Then you can head to your personal space and non-work environment.

PRO TIP: Include your colleague(s) into your morning routine. In the morning, after completing your personal routine, jump on Slack or Zoom with a colleague and chat about non-work topics.

Come up with ideas for discussions not related to work. This could be anything sport, hobbies, music, etc. Ease into the workday with this relaxed interaction.

At the end of the day or end of week, could be just listening to some music together and sharing beverages online and telling funny stories.

Sounds simple, but this will bring a benefit and will help you sustain company culture.

This single tip can provide tremendous value and if you include the company culture aspect, you can tick two boxes in your pursuit.

Take The Initiative In Interacting And Communicating

A company’s culture is greatly affected by the attitude of the employees that work there.

It falls mainly on the manager(s) and superiors on the company to promote the right attitude. Superiors can take a self-sacrificing and patient approach when working with their subordinates.

Team managers can make a special effort to be approachable and supportive, especially when working with new team mates.

This will encourage teammates to continue to rely on each other and it will encourage these employees to be willing to help and go the extra mile for other employees.

However, employees, freelancers, and other professionals can do their part in building company culture. No one can “check out” of this aspect of work. Successful business requires effective communication.

What Is A Digital Mailroom?

Physical mail is a vital aspect of running a business, it cannot be ignored. But if you do not have a physical office you need to find another solution to receiving your mail. That’s where a digital mailroom comes in.

A digital mailroom is a service where you send your mail to a virtual address and the company automates the process. The company follows your delivery routes, business rules, and any other instructions.

The company you work with receives, organizes, and scans the mail. You are then notified that you have received mail and shown a photo. You can choose to trash, open and read, or forward the mail to yourself.

Using this solution can save you time, energy, and frustration. This solution allows you to receive your mail quickly, share information with remote workers or stakeholders, and avoid disruption if you move addresses. It also protects your privacy and personal time.

What Is The New Hybrid Model?

The new hybrid model is a blending of technology, work-from-home, coworking spaces, and traditional offices.

This new model aims to meet the needs of individuals and companies without sacrificing productivity and collaboration. This model allows employees to work based on their preferences and specific needs.

Peak performance can be affected by an individual’s preference. So, when creating your own hybrid model, the preferences of each individual should be noted.

Housing, transportation, personality, experience, confidence, and tenure can all affect an employee’s preference in working from home or meeting at an office.

One employee may prefer working from home more due to their location, personality, and preferences. Another employee may prefer to come into work or a coworking space each day.

The hybrid model, when done right, allows employees to choose the location and time to perform at their best.

Benefits

Work is no longer directly connected to the physical office. Many tasks and jobs can be completed at home or in a coworking space.

When using a hybrid model, employees have more freedom and control over their daily lives.

Individuals who work-from-home may have the flexibility to work when they want.

The hybrid model does not stunt team building and collaboration. In fact, it can improve it. Designating an office space or coworking space as a creative hub allows the best locations for employees and individuals to collaborate and build trust.

These creative hubs can be used when employees need to meet to collaborate physically. They also can be used as coworking spaces and activity spaces.

How To Set Up A Virtual Office in Four Steps

Step 1. Set Up Functional Communication Tools

When working with a team required communication. When using the hybrid model, employees and teammates need reliable communication tools.

Collaboration Tech

Before discussing collaboration tools, we need to look at the tech and hardware.

Employees and freelancers need the right tech to ensure their communication is effective. Businesses and freelancers alike would benefit from investing in high-quality web cams, noise canceling headphones, standing desks, and other useful office tech.

Large companies and organizations would do well to take a no-compromise approach here. With the right equipment, employees and freelancers can maximize their efficiency and ease in communicating.

If you travel a lot, make sure your equipment leans on the travel friendly side.

Video Conferencing Tools

Face to face communication allows team members to communicate very effectively. Right now some of the most well known tools for video calling are Zoom, Google Meets, and Skype.

Zoom does require a subscription to host meetings with multiple participants for longer than 45 minutes. Depending on your team’s needs you may want to consider a Zoom Pro account.

Google Meets and Skype are more budget-friendly options. However, in my personal experience, Zoom is more reliable and the Host has more control over the meeting.

Whatever software you choose, make sure it meets your specific needs and budget. Don’t be afraid to test out different programs to find the right fit.

Messaging Tools

Sending written messages is also important for team members. Today programs such as Slack, Whatsapp, Teams, and Skype are used for team messaging.

Each program comes with its own pros and cons. Right now, I believe Slack is the most popular choice.

Slack provides a lot of control for the manager of the team. They can create specific chats for different topics and events. Slack is like the Zoom of video conferencing. It may take a bit more time and effort to learn, but the utility and control it provides is well worth it for many.

Again, experiment with the messenger you choose to use for your team and find what’s right for you.

Step 2. Commit To Intentional Scheduling

Without any restrictions, you or your company can operate from anywhere.

If you need to, you could book meeting rooms, coworking spaces, event space, buy out a cafe for the morning, and still not spend the amount equivalent to office rent.

So what kind of hybrid office should you curate? Well, the answer to that could be based on your schedule and deadlines.

Do you have new projects weekly? Do you get assigned new projects or workloads regularly? If so, that may be a good time to have a meeting.

Do you have regular presentations or pitches? If so, your team may benefit from meeting in person beforehand to practice and finesse last minute details.

Or, are you a freelancer who works from home? If so, do you benefit from regularly getting out of your home office and going to a coworking space or cafe?

If you need to meet a client in person, you could reserve a meeting room at a coworking space.

There are many factors to consider when creating your schedule. Keep in mind these basics when building your specific work schedule:

Regular meetings to assess workload.

Meetings to determine progress.

Client meetings, sales pitches, or internal company presentations.

Events and meetings to build company culture and team cooperation.

Your personal preferences/circumstances and that of your teammates if you have any.

Requirements of your work. (Does the job have to be done in person with my teammates or at a specific location.)

Once you understand your needs and preferences, you can build a hybrid work solution around them.

Step 3. Set Up Productive Admin Tools

When building a virtual office, you need to transition old admin tasks to virtual solutions.

The main tasks that will now need your attention is your virtual mail, virtual phone system and reception, cloud document storage, and collecting digital signatures.

Also, mail handling and an Auto/live receptionist for a professional answering service. Going paperless and operating 100% on the cloud, VPN and digital signatures

Virtual Business Address

Now you don’t have an office any longer, so where is your location? What address do you publish on your website? Where does your mail go? These are a few small headaches the Hybrid work model causes, but here are a few simple solutions.

Business Address subscriptions are now available in many locations. These services allow you to list your business at a professional looking address where you can receive mail and register your business.

A Virtual Business Address is different from a PO box, so you should know the few differences before you sign up. You can learn more about differences in this artilce “Does your company need a business address, virtual address, or PO Box?“.

Digital Mailbox

And your physical postal mail? How do you handle that now in a hybrid model? Well, along with a subscription for a business address, you can purchase a subscription service that handles all your mail for you.

This would be the digital mailroom service mentioned earlier.

Virtual Phone Number

A virtual phone system is an almost main stream and many companies use only their mobile phones, but a central business number with extensions is ideal and recommended.

If your office has been there for a while, chances are you may have had a conventional phone system from a local provider. Usually thats a physical phone connected to a phone line but that setup is pretty muh obsolete now.

New phone systems consist of all cloud hosting technology, so no more on-premise equipment.

You can choose a business number or port your existing business numbers to the system. Setup multiple extensions to all your departments or individuals. All incoming calls can be forwarded to mobile phones without revealing the forwarded personal numbers.

Visit this page to set up a Virtual Business Telephone system right away.

Cloud Storage (Hosting Your Entire Business On The Cloud)

Many companies offer storage subscriptions and team storage options. Most documents and media are now stored or shared using some form of cloud storage.

Google Cloud, Microsoft One Drive, and Drop Box are commonly recognized cloud storage options. You can compare pricing and storage needs to decide which service best meets your needs.

Step 4. Continue Fostering Team Culture

Fostering team culture can take many forms. But in its simplest definition, its communication, effective communication.

Learn each individual’s preferences, challenges, and needs. Find opportunities to build trust, cooperation, and improve communication between your team.

This could include regular meetings, collaboration on projects, encouraging

Remember the creativity hubs I mentioned earlier? Well, they don’t have to be a designated building or office owned by your business. A creative hub could be a cafe you rent out or a coworking space.

A creative hub can be anywhere, as long as the location meets a few needs. Those needs may include:

Privacy

Relatively quiet

Bright and clean

Appropriate furniture and space to host meetings

Stable internet

Office supplies

Snacks and coffee (I think we can all agree this is the most important factor!☕)

Closing

Building your virtual office and using the hybrid work model will allow you to create a healthy work environment that improves your efficiency. Whether you are a business owner, manager, or freelancer, implementing some or all of these tips will provide greater freedom and productivity.

Each hybrid solution and virtual office will be different. Each team and individual has their own unique needs. Play around with the suggestions and curate what works for you.

Best wishes and have fun😉

Working from home is becoming the new normal and many managers are in the same boat. The world is changing rapidly and managers are forced to push forward and tackle the day-to-day and strategic challenges of managing a Remote team.

The concept of remote work from home is not new. It’s no secret that Millennials love working from home because of the increased flexibility of the working situation. According to a survey done by PWC, 64% of Millennials want a more flexible work schedule and 66% say they want to work fewer hours.

Millennials are thrilled to be working from home. As we move out of the global pandemic, you are likely to be met with resistance from your new remote team when it comes to working at the office again. 84% of leaders are looking to implement more flexible work policies post COVID.

Luckily we have lots of tips and tricks for managing a remote team.

Day-to-Day Communication

Communication is an enormous factor to consider when it comes to remote work. With your team not operating face-to-face, you’ll likely to experience communication challenges. Effective communication helps you and your team avoid conflicts within your team. It can also help solve your customer’s issues in a timely manner. Companies are 3.5 times more likely to outperform competitors when effective communication programs are implemented.

So how do you communicate with your team when you are all working online?

You need to consider your employees’ communication styles. While some people will be very comfortable working from home in isolation, others will be stressed without the option for workplace socialization. There is work from home software that helps make the transition easier for your extroverted employees.

Many companies are gravitating towards work from home software like Zoom for video conferencing calls. It allows you to talk with multiple people at the same time and see your employees’ faces when they are working from home. They are also migrating their old legacy office phone systems to Virtual Business Telephone systems, where the service is on the cloud and allows for remote configuration such as managing call greetings, extensions, call forwarding all from a remote location.

Slack is a popular option for chatting and collaboration. It is a messaging platform where you can chat with any member of your team, send documents, and create project-specific chat groups. It is a great tool to duplicate your workplace culture online because you can incorporate emojis or GIFs into your conversations to show emotion. Creating a culture slack channel is a great idea to have “employee water cooler conversations” online, which will increase your employee morale.

Managing Meetings with your Remote Team

Without an office space, you’ll be left having all your meetings online. For important meetings like HR meetings, job interviews, or big team meetings, face to face communication can be a huge factor in gauging people’s emotions and authenticity. 80% of person-to-person communication is through body language. The loss of key face-to-face interactions makes it difficult to host these meetings online. However, you could rent a meeting room for the day for important meetings.

As a coworking office, we’ve seen an increase in the number of companies requesting meeting room bookings so they can still have in-person meetings. At the end of the day, there is nothing better for collaboration and communication than a face-to-face sit-down.

But can I have an in-person meeting safely?

You can, but you should take extra precautions when you plan your meeting. Make sure you choose a meeting room option that is big enough for you and your team to socially distance. When selecting your meeting location, make sure they have a COVID policy with access to cleaning supplies that will disinfect the area. Try and choose an office with as few touchpoints as possible to limit the potential spread of COVID. You could also encourage the meeting attendees to wear masks and sanitize their hands before the meeting.

Business Address

Another thing you miss out on without an office is your business address. This can present a major business challenge. If you own a business that gets mail or regularly has customers visiting your office, you need a workaround.

So what do I do about my business address?

Many coworking spaces also offer a virtual mailbox with a business address. This way you can still receive your mail and use a business address.

At The Profile, our customers get a unique business address to use for mail, to claim a Google My Business account, and any marketing or legal documentation. This way you can still receive mail and cheques from your customers without giving out your home address. Our offices are staffed during business hours so if your customers decide to drop by, there will be an attendant to greet them.

Time Management

If you’re worried about managing your employee’s work ethic while they work at home, you’re not alone. This is one of the largest concerns that managers have about managing a remote team. It’s fair to question your team’s productivity as they work remotely. However, worry not. Implementing a time management system will help you manage the amount of work your employees are doing. Using work from home software like Trello or Asana helps to show your team’s projects and the tasks associated with it. This way you can see the tasks your employees are completing day-to-day.

This gives your employee accountability while they work from home. It also gives you peace of mind that the work is getting done, it helps you manage your projects, and you can rest assured that your team is being productive.
With so many considerations about remote work from home, it’s easy to be overwhelmed. As a leader, you’ll need to make hard decisions about your workplace safety and culture. However, at The Profile, we are always around to help answer your questions about flexible office spaces in Vancouver and virtual mailboxes. We’ve been in the business for over 10 years and have a wealth of knowledge on coworking and collaboration.

Many of us are hunkering down in our homes and obeying Dr. Henry’s stay-at-home orders while fantasizing about the good old days of attending sporting events and meeting up at a coffee shop with friends. We continue to optimize our perfect ‘home office’, until we realize that we miss our social spaces, including coworking spaces.

Just as all co-living and co-sharing spaces are affected; coworking spaces, including The Profile, have been hit hard. While we carry on in utmost confidence that once this is under control our spaces will be a safe haven for those looking to be more productive out of the house.

Coworking/flexible offices will also be a saving grace for many companies looking to relieve themselves from their own long term lease. We are committed to creating and adopting a new era of coworking once some of the pressure is relieved, and we look forward to sharing this new model with you in the next few months.

Until that time, Coworking spaces can STILL provide benefits for members and prospective clients alike.

While going into the office has changed, business has not. Yes, you can use your home office, but you still need a business licence tied with a business address. At The Profile Coworking in Lonsdale, you can get set up with a virtual address tied together with your company business licence.

While The Profile Coworking North Vancouver has adapted by providing mail forwarding to the homes of all of our members, we look forward to launching our new virtual office plans with a focus on the new normal of safety and convenience.

Coworking North Vancouver gives you a sense of community

We have all been through a lot over the last weeks. Business culture has changed, employees are working from home; and all of this is wrapped up in a lot of uncertainty. Coworking spaces offer the chance to be part of a community all going through and solving problems together. Here are a just a few ways our community is contributing:

Manning Elliott

Our Community sponsors have been an integral source for us to share the constantly changing news.

As sponsors, they have also contributed some of their funds to helping out members in need of assistance. We will post more on this great contribution soon! Follow them on Twitter and Facebook.

North Vancouver Chamber Weekly Webinars

Our local chamber in Lower Lonsdale has provided webinars on lease protocols, and various government protocols that we can pass on to our members. Follow them on Twitter and Facebook for daily updates.

Within People

Members of our North Vancouver location, Laurie Bennett and his global Within People team felt it was important to start to examine what makes leaders stepping up in this coronavirus era different – and what they are doing practically to emerge stronger from today into a business they proudly continue to grow. On Wednesday, May 13th, The Profile members are invited to join their online webinars to learn more. Get in touch with us directly if you would like to take part.

Downtown Vancouver BIA

A constantly forward thinking group that is looking at ways our community can expand and be stronger in spite of the current environment. Actively hosting webinars, promoting local businesses, and sharing a tonne of information. We will dive more into this relationship in the coming months. Be sure to give them a follow on Twitter and get updates on all their amazing initiatives happening in and around Vancouver.

Feed Me Fit

Our favorite plant based meal delivery program based out of the North Shore is offering the community a bunch of different savings right now such as:

Join their Community Support Bundle that includes 5 (freezer friendly) soups/stews for $25. The proceeds of this bundle are helping them feed and support families in need.

20% off marked items on their website (which makes some meals only $10.40!)

They opened up their delivery area to the whole Lower Mainland and waived all delivery fees, as well as ensuring no contact deliveries.

They have also added 6 different Grocery Boxes that include fruits, veggies, baking ingredients, rice, milk, etc. at cost.

For more information on how to sign up for the Feed Me Fit program contact us or order here. You can also give them a follow on Facebook to stay up to date on all their current news and contests.

Jamie Smith Artistry

One of our amazing members, Jamie Smith, is an artist and owner of THRIVE Art Studio who has created free colouring sheets for you and your family to enjoy!

Volition Virtual Pitch Event Canada

Our long time event partners has not slowed down their commitment to entrepreneurs and will be hosting their first Virtual Pitch Event Canada on Wednesday, May 13th from 1:00PM – 3:00PM PT. They will be connecting with startups and entrepreneurs from different Canadian provinces.

Volition will be accepting applications until Wednesday, May 6th from all across Canada and will strive for geographic diversity. You can also follow Volition on Twitter.

Last year, 60 percent of workers working remotely claimed they’d prefer to continue to work this way. No wonder why: think about all the remote staff benefits an individual gains (e.g., no need to spend money on transportation, no daily commute stress).

Sure, maintaining a work-life balance can be difficult. But don’t sweat it, we have some tips to help you.

However, it’s easy to get distracted when kids, pets, or video games are around and end up working until late in the evening.

1. Get Ready for Work

Since there’s no need to worry about traffic, you may be tempted to hit the snooze button and sleep in. If you want to be productive and finish work when you’re supposed to, wake up on time, take a shower, eat breakfast and dress up properly as if you were planning to go to the office.

These rituals and routines will help get you in the right mindset for working from home.

2. Make A Schedule

If you were working in an office, you would have a schedule, so why should it be different when working from home? This is how we need to focus on Work-life Balance!

You need a consistent schedule to have some control over the number of hours you’re working.

If you notice that you are constantly working extra hours, try to understand why and address it. For instance, if you get easily distracted by the sound of your phone’s notifications, turn it off during work hours.

Ultimately, following a schedule will help you avoid burnout. So, create one and stick to it.

3. Create an Effective Virtual Office Setup

Search google for best virtual office setup and you’ll find a treasure chest of online software productivity tools and physical office tools from ergonomic furniture and task lighting.

Don’t work at the sofa or kitchen table. Create a space, even if its tiny but make it productive workspace and emulate a workspace like the one you had at your office or coworking space.

Search software productivity tools and you’ll get another list of free and simple tools to create your Virtual office such as a Virtual Mailbox that can improve your work life balance.

4. Try a Change of Scenery

Eventually, you might find yourself struggling when working from home. When this happens, it may be worth considering a change of scenery.

A new environment, like a coffee shop with free wifi or a library, can help break up remote work’s monotony, leading to an increase in your productivity and happiness level.

You might even consider a coworking space (especially if your home is not a quiet place). Keep in mind that this kind of environment can be fantastic for conferences or video calls.

5. Start Small – experience success

We do it all the time. We read about setting goals, achieving big things, reaching new heights. But how do you feel when it fizzles out? How many times have you said, I bit off more than I could chew. My eyes were bigger than my stomach.

Try setting a small goal. Succeed and now check out how you feel. Increase that goal by a small increment and achieve that and presto, you’re feeling success and you’re on a roll. If you’re trying to change various scripts in your life, start small and experience some success.

Savour the feeling and build from there.

Maintaining a Work-Life Balance

Maintaining a work-life balance can be tricky, but it’s not impossible. Try following a few of the tips above, you’ll notice how much easier it will be to finish work at an appropriate time and find a moment for your personal things.

By Kathryn Pomroy

Lots of small business owners, sole proprietors, independent contractors, solo entrepreneurs, and digital nomads with virtual offices use their home address for their business. It makes sense. Using your home address is simple and doesn’t cost you a cent.

While using your home address may be the best choice for you, it may not work for everyone. Why? Because there are significant downsides to and potential legal consequences of using your home address for your business. Sometimes a better option is getting a virtual business address.

Let’s take a look at virtual business addresses, their benefits, and some issues to consider. We’ll also explain the drawbacks to using your home address, and the pros and cons of a PO Box.

What is a virtual business address?

A virtual business address is a real street address at a mail center or in an office building. It’s a place where you receive your business mail and packages, but it’s not a PO Box. A virtual business address relies on the Internet for meetings, document exchange, telephone answering, and video conferencing, so employees, no matter where they’re located, can keep in touch.

If you have a home-based business or if you need an address for your business in another city, you can get a virtual business address. They’re available in 50 states and abroad, and add a little more credibility to your business than using your home address. There are no long-term commercial leases to sign and no strings attached to set one up.

Aside from the name, the fee-based mail forwarding service isn’t actually “virtual” in the way most people would think. You have a professionally-trained provider filtering your mail on your behalf. And depending on who you use, you can arrange for them to do a number of other tasks:

Most providers scan your mail and then send you virtual copies of all the mail you receive.

Some providers will weed out the junk, leaving you to decide what to keep and what to throw out.

With most providers, you can also receive mail no matter where you’re located, which allows you to hop on your computer or smartphone and view your mail anytime.

Most providers will accept envelopes and packages from all the major carriers, including UPS, DHL, FedEx, and USPS.

Another perk is privacy. A lot of people who run a business out of their home don’t like the idea of giving out their address. Having a virtual business address can save you the worry of having customers or vendors show up at your door.

If you want to send a letter or other business correspondence from your virtual address, you can do that too. Just scan or take a photo of your document, upload it, and enter the address you want it delivered to. Plus, you can set up your virtual street address in any state where you do business, even if you don’t personally do business at that location.

Most services provide the same solutions, but it’s a good idea to shop around for one that meets your needs.

Why you may want a business address

Every business has to start somewhere, and for some, that means starting out of their home. While working out of your home office will save you the cost of renting a commercial space, there are some things to think about, like privacy concerns, zoning restrictions, professional presence, and liability issues.

Let’s take a look at why you may want a business address.

Privacy concerns

If you use your home address as your business address, that means you need to provide your personal address whenever a customer or a vendor needs your business’s contact information. You may have to use your home address on your website or even on your business cards.

While some home businesses opt out of using an address online, you typically must provide an address on your business records. Unfortunately, using your home address can compromise your family’s safety and privacy. With Google and Bing Maps, everyone can easily find where your home is located, and the last thing you want is for a disgruntled customer or vendor to show up at your doorstep.

Lease and homeowner association rules

Many apartment complexes and condominiums restrict your ability to run a business out of your home. If you own a condo, check the covenants, codes, and restrictions provided by your Home Owners Association (HOA). If you rent, look over the terms of your lease.

Just because there’s a restriction doesn’t necessarily mean there’s nothing you can do. If your small business is unobtrusive and won’t bother other residents (as is the case with most professional service businesses), you may be able to explain the situation to your landlord or HOA and receive an exemption.

Zoning restrictions

Local zoning laws and home-based business ordinances may also restrict your ability to run a commercial operation out of your home. This is usually due to zoning laws that seek to maintain the residential character of a neighborhood. Contact your city and ask if there are any codes that would stop you from using office space in your home for business operations.

Some zoning boards restrict the right of home-based business owners to build separate structures, and there may be limits on the number of employees you can have. Keep in mind that some regulations don’t allow you to hire any employees who will work out of your home. There may also be restrictions on the percentage of your home that can be used exclusively for your business.

In addition, you may not be able to display advertising signage, and some communities have parking and traffic restrictions that may restrict access to your business. Even noise can be subject to zoning laws.

Liability issues

Although there are no restrictions saying you can’t, limited liability corporations (LLCs) and S or C corporations should think twice about using a home address for their small business.

One of the major benefits of these business entities is a limited liability for business debts and activities. However, this protection only applies if you keep your business and personal activities separate. Using a personal home address for a business could “pierce the corporate veil,” making you personally liable for business debts and obligations.

If you run an LLC and no longer want to use your home address for business, there are several ways you can easily get a business address.

TheUnited States Postal Service has PO Boxes available for businesses in a variety of sizes. Just make sure to ask for a real address rather than a PO Box address.

You can pay to use someone’s office to receive your mail.

You can choose a mail-receiving service for packing, shipping, and tracking packages.

Instead of the USPS PO boxes, you can use UPS Mailboxes. They offer 24/7 access and will even hold or forward your mail.

Professional reputation

More and more clients are accepting of entrepreneurs and consultants who don’t have a unique business address. However, unless you have a professional business address, you won’t want to list a contact address on your company website for security reasons.

At the same time, many business owners with home offices risk losing sales by making people search for contact information — or by not providing it at all. The name of your business, a real street address, phone number, and email address should be onevery page of your website.

That’s because visitors will arrive at your site via search engines, and you want to make it easy for Google to find your physical address. With a physical address on every page of your site, Google can better send traffic to your website and business when your potential customers perform a local search.

Sending out invoices, contracts, or statements of work with your home address listed may also have customers questioning your professional status. If clients see that your business is run out of your home, they may hesitate to trust that your business is an established, long-term endeavor.

Registered agents

Many business owners who chose to use their home address or don’t want to use a mail service but still want to preserve their privacy opt for registered agent services. A registered agent can receive legal documents, like a summons, lawsuit papers, or a subpoena — papers you may not want delivered to your home. Every state requires that a company’s registered agent have a physical mailing address in the state where the company is registered. A PO Box won’t count as a physical mailing address.

What about a PO Box?

A Post Office Box, or PO Box, from the US Postal Service helps you keep important documents confidential and your home address private. You won’t have to worry about packages and mail being delivered when you’re not home, and a PO Box also allows you to separate all of your business mail from your personal mail.

To find a PO Box near you, simply go the USPS homepage and look for the “Reserve a New PO Box” tab. You can then search by zip code or address to find the nearest location. You can reserve a United States Postal Service (USPS) PO Box with your online account or open a new account at usps.com/poboxes. Once you find a Box that fits your needs and reserve it, print the PO Box application: PS Form 1093. Then take it to your Post Office with two forms of photo ID.

After you complete the PO Box application, submit it at the Post Office, and pay your rental fee via credit card, you’ll get a Box number and two keys or a combination for your Box. If the USPS doesn’t provide mail services to your home, you may be entitled to a free PO Box. Check with your local Post Officeto see if you’re eligible.

A PO Box is affordable and allows you a change of address if you cancel. In addition to the above, a USPS mailing address gets you package notifications, 24-hour access, and text or call-in mail check. If a box or package is too large to fit in your Box, you will receive a notice to pick up your package at the counter during regular business hours.

If you decide to look into getting a PO Box for your business, there are a couple of things to keep in mind. If you’re an LLC or a corporation, you are not allowed to use a PO Box as the physical address you list on your business license. So be sure to ask the postal service for a real address rather than a PO Box. For registration purposes, a business address must be a legally valid address — that is, a physical address or a virtual address.

Also, most USPS offices won’t sign for packages from the UPS or FedEx. However, if your PO Box is eligible for Premium PO Box Services, packages from any shipper can be held at a Post Office location.

And if you’d rather not stand in the long lines at the Post Office, you can set up automatic renewal payments online to pay your PO Box fees using a credit or debit card. Just log into your account and go to Manage PO Box.

Something else to keep in mind is if you already have a PO Box for your personal mail, you can switch to a business account online. However, if you have a business account, you cannot switch to a personal account. You’ll need to apply for a new personal PO Box.

Aside from the convenience of a PO Box, there are a number of other services you can get for your business such as Caller Service. This is for businesses that have more than five PO Boxes or receive more mail than can be delivered to the largest Box. You’ll be notified to come pick up your mail during business hours if your packages can’t be delivered to your Boxes.

Another service is called Reserve Service. This is designed for business owners who send out lots of promotional mailings. This service helps you distinguish between promotional mail and standard business mail.

A PO Box is a good option for many small business owners who don’t want to use their home address as their business address. Your mail is secure, you can access your mail during USPS business hours, there are a range of mailbox sizes to choose from, and the rental periods are priced fairly.

So when considering whether a PO Box is right for you, consider the benefits as well as the limitation to decide if its the best choice for your business.

Getting down to (virtual) business

While using a home address may work out great for you, the independent contractor down the road may decide otherwise. No one choice is best for everyone and you have to carefully weigh your options before deciding.

A virtual business address may provide the security and privacy you need so you don’t have to worry about vendors or customers showing up at your home unannounced. Getting a PO Box with a real address also works, and they come in a range of sizes and rental costs are reasonable.

If you want your business to look professional, a real street business address will create more credibility, as well as protect your privacy and personal information. And you can still enjoy the freedom that comes with working out of your home.Rate
