New company formation can cost thousands of dollars. Trying to choose a service provider among dozens of providers across Canada can be daunting.  Every provider presents the costs in a different format.  Some include part of the costs in a bundle, some present the fees upfront and then show the extra costs at the end.  Other provider websites are just downright confusing unless you call the law firm directly and proceed offline.

So for this review, we researched over 10 service providers and browsed their entire websites.

We are reviewing only the providers who are completely online and with an automated process of setup and registration.

In our study, we organized the costs to be in the following three segments.  The Provincial Corporation fee, the service provider fee and the options.

All provinces charge a one-time provincial fee for example in British Columbia corporations Canada charges $351.50. So all the service providers pass this along. 

Then most providers charge their own service fee. Some $99, some other amounts.

Then the third segment of costs are the options.  Such as rush service and your choice of documents such as shareholder agreements, minute books, share certificates etc and each of these you choose volume or other options and the fees can add up. 

A few go on to provide other services such as a registered business address service which vary from $299 per year up to $799 per year. But read ahead and we can share more information on the registered business address.

Finally, some service providers can help you register with CRA for GST/HST payroll and PST etc.   

In the end, if you choose most of the options, the full costs among the 11 providers are all about the same. It really comes down to the level of service online or in person and the reputation of the provider.

Legal and Compliance Tips for Entrepreneurs

In our choice. We selected two larger providers and BC Online because of their additional services and the online process that automates the registration.

The companies are OWNR and LawDepot, and Do-It-Yourself with BC Registry Services

They all offer registration and incorporation services online and even provide legal documents and management software and digital minute books. Additionally, because it’s available, we showed you the do-it-yourself option with BC Registry Services to incorporate your company.

So what option should you choose? It’s up to you, but hopefully, the following summarization helps you out!

• Complaints About Customer Service, OWNR has quite a few complaints regarding their customer service and communication. Disgruntled customers complain about contracts suddenly being canceled and being unable to speak to someone. 
• There doesn’t seem to be an option to incorporate in Saskatchewan.

If you sign up using the managed corporation plan, you save $100 initially. But then you would pay $599 each year. If your company structure is active and you anticipate ongoing changes, then this plan is valuable.

LawDepot is a company that provides a variety of legal documents and contracts for entrepreneurs and business owners. LawDepot also provides Incorporation Packages in Canada and Corporate services. 

LawDepot boasts over 10 million users and over $2 billion saved in legal fees. 

LawDepot started by providing Promissory Notes in 2001 and later expanded to provide over 150 different legal documents.

• LawDepot does not offer attorney support, they have no free or paid consultation options. 
• Some customers have reported tech issues with creating and saving documents. However, those issues were solved with customer support. 
• The documents are not free unless you sign up for a 7-day free trial and then cancel before the trial is up. 

Price 

You can add on a Service Rush for $100 which is filed in 1 business day instead of 4-7. You can also add on their minute book for $59 and NUANS Corporate Name Search for $49.

LawDepot offers a few different options to access their legal documents. 

The yearly subscription works out to be $7.99 per month + GST/HST. This includes unlimited document creation and printing and the subscription auto-renews.

DIY via BC Registry Services

Let’s say you want to keep your spending to a minimum and are brave enough to incorporate your company on your own. You can follow the BC Registry Services steps to guide you in the incorporation process, found here.

However, the guide only covers 5 basic steps to incorporate your company, and for any other steps or tasks that may need to be done you are on your own.

BC Registry Services provides:

Pros

• Lowest possible costs
• Total control over article customization
• Gain first hand familiarity of the incorporation process
• In-person or online registration options

Cons

• Very time-consuming with lots of paperwork
• Risk of errors or missteps
• Help and guidance limited to the basic steps of incorporation

Price 

BC Registry Services Canada offers incorporation by province and federal incorporation. They offer a Basic Package which is their cheapest option, Standard Package which is mid-ranged, and a Full Package. 

How To Get Started

Start by submitting a name approval request at by visiting https://www.names.bcregistry.gov.bc.ca/ and paying the associated fee.

Follow steps 2 and 3 in the BC Registry Services guide, as well as completing all additional steps that may be needed such as setting up minute books or records books.

BC Registries offers a standard set of Table 1 Articles and an incorporation agreement that you can choose to adopt. However if you want to make any changes, it is highly recommended to do so with legal advice.

Keep in mind that this may be the lowest cost option to incorporate your business, but it only gets you a registered company and you’ll likely still need to hire someone or a lawyer to prepare all the documents, such as shareholder agreements, and custom articles of incorporation. You will most likely want to modify your share structure and issue new share classes and order certificates. So the initial registration may be only $351.50 but anticipate more costs to complete your company.

Finally, you can file an Incorporation Application online at www.corporateonline.gov.bc.ca and pay the associated fees.

Takeaways

Choosing the right incorporation service for you will save you time and money. Each of the services mentioned in this article has its pros and cons.

Registered Business Address in Canada

Also as a final addendum to our review, none of the above service providers will provide you a registered business address. However, almost all the law firms that provide incorporation services do provide a virtual address service. So what is this all about? We can explain.

The BC Corporation Act and bylaws do not allow the use of a personal home address or a PO Box when registering a physical location of your corporation’s minute book and records. 

According to Section 34 of the Business Corporations Act, companies are mandated to maintain a registered office for legal document service, which must include verifiable mailing and delivery addresses. Additionally, the records office is designated for the safekeeping of company records. Therefore, businesses are obligated to have a dedicated BC office address that serves as a repository for their crucial documents, in line with these legal requirements.

Of the 10 providers we reviewed most of the providers offered the use of their offices address and mail scanning for only mail CRA or BC registration. It is not to be used as a general business mailing address or place of business. As this is not their core service, the service is basic and rarely offer any upgrades or additional mail handling services and the prices we reviewed ranged from from $299 per year up to $799 per year

So we offer a solution.

5. 8×8

8×8 is another cloud-based VoIP provider in Canada tailored to call centers and other larger companies. They removed their small business plan, Express, as of March 1st, 2023. 

A virtual number from 8×8 unlocks unlimited calling in 14 countries, including Canada and the US. However, that’s really all you can get on the basic plan. 8×8 is more focused on unified communications than calls and texts, which results in many features being more limited than its competitors. Call recordings, for example, are held for just 30 days unless you upgrade to the X4 plan (an extra $20 per user per month). Even then, this upgrade only comes with 130 days of call recording storage. 

There’s no way to unlock unlimited storage at all, which could be an issue when trying to get context from past customer interactions.

Plus, 8×8 doesn’t offer unlimited texting on any of its small business plans. It costs 0.00695€ to send a text in Canada, and even then, you still have to use their SMS API just to set things up the way you want.

Other texting limitations with 8×8 include:

• No SMS support on toll-free Canadian numbers and shared virtual numbers
• No support for group texting
• No international text support (you can receive international messages from outside the US and Canada, but you can’t respond to them)

6. AVOXI

AVOXI is a cloud communications platform specializing in international numbers. The company offers virtual phone numbers in 170+ countries, including Canada. Although their goal is to help global call centers manage multiple international numbers, you can still use AVOXI to set up a single Canadian number for your small business.

Unlike many other VoIPs, AVOXI estimates the amount of minutes you can use on each plan depending on where you forward your incoming calls. You have dozens of different forwarding countries to choose from, as well as virtual forwarding through Microsoft Teams, VoIP, or SIP. 

However, the only way to know how many minutes you get is to enter your specifics into their checkout page.

Even if you’re willing to pay high prices to buy an AVOXI number (more on this below), you should know most of their texting and calling features are limited at best. There are several other price considerations to keep in mind.  AVOXI requires you to pay a $9.99 platform fee per customer account. You also have to pay an additional one-time fee of $149.99 to add up to six licenses to your account. If you decide to add more user licenses to your business, you have to pay an additional $24.99 per license. There’s also an INTFEE cost recovery charge — a 21.1% tax on your monthly subscriptions and call traffic for regulatory compliance.

7. GoTo Connect

Jive has rebranded to GoTo Connect, a VoIP service provider available to businesses in Canada. You can use the platform to make calls and texts and set up virtual meetings using video conferencing tools.

But GoTo Connect is somewhat limited compared to other business VoIP providers. The platform doesn’t offer unlimited calling to the US and Canada, and limits the amount of toll-free minutes you can use per month — no matter how much you upgrade. Plus, you can’t text customers outside the US or Canada. You’re also limited to just 40 SMS per user per month on their standard plan.

The Real Cost Of A Traditional Office Lease

The traditional office lease model has been in use for many years. But the challenges and issues tenants have faced with this model are important to note.

I was in a discussion recently with a few of my fellow coworking colleagues who were supporting the landlord and criticizing a partnership between flex office solution providers and property owners. And that we shouldn’t pin the risk on the landlords and make changes.

But I question why not? We are in this together and there are better options now going forward.

What Can Go Wrong With A Traditional Office Lease?

Especially when the CEO of a tech company is wearing a hardhat and not focused on building their business.

Most companies need to meet their customers’ needs. A company cannot simply decide they want to sell a product and then force the customer to buy. The product should meet the customers’ needs, correct?

But, in this case, the landlord could not sell something further away from what the tenant actually needs:

1. They can never sell a tenant the exact amount of space they need; it’s either too much or too little.
2. They force them to make long-term commitments to get a reasonable rate.
3. Between the developer, the lawyer, the leasing agent and the landlord, it would’nt be an over-statement to suggest this is a collusion.

Now it sounds like I’m going to gripe a little bit, like I have some axe to grind or something. You bet I do.

Let me start with the developer. Have you ever seen a 68-page CCDC contractor agreement? Yes, the one that the developer gives you that they will never sign if it’s a performance agreement.

A performance agreement is a type of construction agreement where the contractor agrees to provide a fixed quote and timeline. If the contractor goes over budget or over time they are responsible for the cost incurred.

However, contracts are aware that it is common for a job to go over budget or take longer than anticipated. Thats why most contractors will never sign a performance agreement!

That agreement allows them to always go over budget and overtime. One day you’re a tech founder, or a CEO of some finance company, then overnight you get a crash course on construction electrical flooring material HVAC (whatever that stands for).

You have daily conference calls with project managers and architects. Yes, you get another crash course on seismic bracing for the walls you’re building.

Your 9 hour work days are now 12 hour work days because you spend two hours picking carpet colours with your designer and the other hour placing wall socket positions. You become heavily involved in renovating this new office space.

Then, you have to hire a lawyer that will help you through the 48 page lease agreement. So, you pay them their 10 grand.

But these documents protect only the landlords. You only really understand what these terms in the lease mean once you start using the space. But of course by that time it’s too late, you’re only eight months into a 10-year lease.

Issues With The Leasing Agents

In a lot of cases, the commercial leasing agent represents both the buyer and the seller. So there is a bit of Conflict of Interest.

However, in some cases, you can hire a commercial leasing agent that represents just you as a tenant. But wait a minute, you will probably be a once in a lifetime customer for them, and how often do you think they will bring deals to the same landlord? Many times of course.

So, you know who they really work for.

If the leasing agent convinces you to sign a five-year lease and you default in 3 years, does a landlord have to pay back the commission? No. So if you default, does it affect the commercial leasing agent? For sure it does. Now they get another kick at the can.

On one hand, the leasing agent wants to sign the longest term leases because they get the biggest commission. On the other hand, they want this property to turn over and over and over and over.

And I’m not going to get into the environmental impact of this obsolete model in this article.

The Risk Of A Traditional Office Lease To The Landlord And Tenant

Let’s talk about the balance of risk between a landlord and a tenant.

As a tenant you signed a ten-year lease, and you give an enormous, outrageous and completely off balance amount of covenants. You put down a huge deposit, say $100,000. Then you put in a half a million-dollar tenant improvement.

You buy $30,000 – $40,000 for the furniture, you sign a personal guarantee (which you told your family about of course), you sign a business covenant, and you send them your financials. You disclose every aspect of your business. And that’s okay this is for 10 years.

So you are over $640, 000 in, not counting legal fees and any other fees.

Now that you sign this with your accountant, they enter half the lease liability on your balance sheet? Part of it goes into your current liabilities, some part of it goes into your long-term. This hugely affects your balance sheet, but you do it.

Now let’s say for example you sign this lease in 2006 and two darn years later in 2008 you face the financial crisis. So, for a few months or maybe a quarter you have some difficulty in cash flow.

Because business is unpredictable that way, it most certainly has its ups and downs. Your rent doesn’t clear on the first of the month. The very next day you get a Notice of Default. And in five short days your ‘you-know-what’ is on the street.

So you hand over your first-born for the 10-year lease and they change the locks in 5 days.

Now, your lawyer who may be your good friend and all, will show you what legal rights you have in the lease that you can rely on. But let’s be realistic, once you’re out, you’re done and it may take a year for your lawyers to try and work it out. You will never (trust me never) see the light of a courtroom if this was in your favour anyhow.

Now, if any landlord or property owners are reading this, they are probably looking a bit terse by now. But, I know a lot of property owners who will respect this problem.

You see, with this old and obsolete leasing mode, the landlords and tenants are arch-enemies. But we can and should be working with each other.

The Past, Present, And Future Of Work

You see, going back to my statement about change is slow. Traditional leased offices have been used for a long time. But as we have learned, they come with significant downsides.

This problem was recognized more than 15 years ago. In 2007, I was having lengthy conversations about this with colleagues around the world.

So, what was the proposed solution? Well, that depends on your needs. But Coworking Spaces, Hybrid Work and Virtual Offices are two possible solutions for business owners.

The first coworking movement wasn’t large-scale; it started with the independent worker that could never get into a lease actually but had very few options of where to work.

They had the choice of working from home or a coffee shop and that was it and that’s where coworking was born.

It took a dozen years before “coworking” became a term that most people ever heard of. And it’s coworking without a hyphen by the way.

We all benefited when WeWork entered the market. They spent a huge amount of marketing dollars educating the world as to what coworking means.

But that’s a different story. That’s just one flamboyant founder who messed up his own good deal. This was a classic case of an operational failure, not a failure of the business principle of coworking.

The virtual office and Hybrid Work is a more recent development and is still evolving. A virtual office allows an individual to work anywhere at any time.

It takes the traditional physical aspects of an office online, such as a reception, mailroom, and meeting room. These are now automated responses, digital mailrooms, and Zoom or another video conferencing software.

Both coworking and virtual offices offer greater flexibility, control, and savings. Those two solutions can even be blended with each other.

The question may or may not be whether the typical company CEO now wants to avoid a long-term lease commitment and all the obligations that goes with it.

The question is now what options do these company CEOs have? In any typical or comparable Metropolis like say Vancouver, San Diego, or Philadelphia.

According to the Business Council of British Columbia, about 44% of businesses in BC employee less than 50 employees.

Let’s just talk about the company with 50 or fewer employees. Overnight, these CEOs are probably weighing their options now with their commercial office lease.

And it’s not just a long-term lease vs flex lease. This is a whole new world where a typical company of 50 employees has to have a continuity plan now that provides the solution where they can work from both home and the office.

So, does this CEO actually need an office now with 50 desks or does he enter into a flex lease with 25 desks where their employees rotate, a Hybrid Work model?

We live in a world where technology is optimizing everything. We have apps that created ride-hailing, car-share companies that are optimizing the use of the automobile. We have applications that optimize vacation homes and on and on it goes.

Now they’re going to go en-mass from home but not straight to the office or going to go in between which is the flex solution

Now, CEO’s and business owners do not need to have a traditional office lease. They could consider a coworking space and a blended virtual office model. There are many companies that offer subscriptions to a professional coworking space.

These spaces offer meeting rooms, private offices, shared office space, private rooms for video calling and much more.

An individual or a company could choose to subscribe to this kind of service and use it as they please.

Takaway

Flex office providers, Coworking Spaces, Shared office spaces, and Executive offices are basically all the same now. The lines are blurred between them and now mostly referred to as the Hybrid Work Model. We have the expertise and experience for decades. Typical property owners and landlords do not.

4 HACKS RELATED TO YOUR PERSONAL HABITS 

Set simple, achievable goals

One of the best ways to stay productive is to set simple, achievable goals. Whether completing a project by a specific deadline or increasing your sales by a certain percentage, having particular targets in mind will help you focus and get things done.

For example: rather than saying, “I want to be more productive today,” set a goal like “I will work on this project for 2 hours.”

Rather than saying “I want to make more sales,” set a goal like “I will contact three potential clients today.”

Take the time to plan out your day, week, or even month in advance. By knowing what you need to do and when you’ll be able to focus on each task without getting overwhelmed.

For example: rather than looking at your to-do list and trying to figure out what to do first, try creating a schedule of tasks for each day

Take breaks effectively

It’s essential to take breaks throughout the day, but it’s also important to take them effectively. If you step away from your work for a few minutes every hour or so, you’ll lose focus and productivity.

Instead, try to take a break that’s long enough to get up and move around but short enough that you don’t lose focus. For example, you could take a 10-15 minute break every hour or so or take a complete 30-minute break once or twice a day.

One of the best ways to stay productive is to set a routine for yourself. Establish specific times for work and breaks and particular tasks that you will complete during each part of the day. By doing this, you’ll be able to focus better and get more done.

For example:

• Wake up at the same time each day and start your day with a cup of coffee. 

• Work on specific tasks for 1-2 hours, then take a break. 

• Work on another task for 1-2 hours, then take a lunch break. 

• Work on another task for 1-2 hours, then take a movement break. 

• Work on one final task for the day, then relax for the rest of the evening. 

Also set limits for yourself. For example, if you have a specific amount of time to complete a task, you’ll be more likely to focus and get it done quickly.

For example: rather than saying, “I want to work on this project all day,” set a deadline like “I will work on this project for 2 hours.”

Rather than saying “I want to finish this report by the end of the day,” set a limit like “I will only work on this report for 1 hour.”

Eliminate distractions

One of the biggest productivity killers is distractions. Whether it’s email, social media, or even just the general noise of your office, distractions can make it difficult to focus and get work done.

To eliminate distractions, try to create a distraction-free environment for yourself. For example: Work in a quiet room with the door closed, turn off your email notifications, or even unplug your phone.

If you’re working on a project, set a goal to complete it within a certain amount of time and then focus solely on that task until it’s done.

If you’re writing an email, turn off all distractions and focus solely on the task at hand.

Reward yourself

It’s important to reward yourself for a job well done. Rewards will help you stay motivated and focused on your goals.

For example:

• If you complete a project, take the rest of the day off. 

• If you finish all of your tasks for the day, treat yourself to a movie or dinner out. 

• If you stick to your schedule for a week, give yourself a day off from work. 

One of the best ways to stay productive is to take care of yourself and stay positive. Eat healthy foods, exercise regularly, and get vacation time wherever possible.

By taking care of yourself, you’ll be able to focus better and get more done.

For example:

• Eat a healthy breakfast each morning to start your day off right. 

• Take a break in the middle of the day, and go for a walk. Move your body. 

• Use ergonomically friendly chairs, desks, and devices. 

It’s important to stay positive and have a good attitude. This outlook will help you stay motivated and focused on your goals.

By staying positive, you’ll be able to better deal with setbacks and remain productive throughout the day.

For example:

Instead of getting frustrated, take a break to calm down and then come back to the task at hand.

When you’re feeling overwhelmed, take a step back and evaluate your situation.

Get enough sleep

It’s important to get enough sleep to function at your best. Most adults need 7-8 hours of sleep per night, so ensure you’re getting enough rest.

If you’re having trouble sleeping, try establishing a bedtime routine and avoiding caffeine and electronics before lying down.

Tip: make sure your bedroom is dark, quiet, and cool, which can help you get a good night’s sleep.

Celebrate each accomplishment, no matter how small it may seem.

These are just a few of the many personal productivity hacks that can help you get more done. By using these tips, you’ll be able to focus and achieve your goals better.

4 HACKS UTILIZING TOOLS & TECHNOLOGY

Use these Top five software tools that work for any business 

Regardless of what kind of business you run—whether providing a service, selling products or even just brainstorming your next big idea—most entrepreneurs are dealing with the same problems. These include how to schedule, track sales leads and plan ahead when necessary.

As such, here are my top five productivity software tools that I use no matter what business I’m running; I use these tools over and over. 

1. Google WorkSpace. Google Workspace which include Google Docs is the best sharing and collaborative document software in my opinion. We use Office365 for many use cases, but we use Google Docs, Sheets and Drive for simple use and sharing of high level information. The sharing is live and amazing

2. Calendly. This was a time saver. There is nothing worse than trying to schedule a meeting with someone over emails and having to hit reply 5 times saying, what ever works for you, let me know, or you suggest a time, and they’re busy.  Sign up for Calendly and add to your email signature and use it.

3. Zoho CRM. Yes, there are many CRM platforms out there, but I discovered the simplicity of the Zoho software tools many years ago. They provide the simple features and are easy to setup and are one of the more competitive in terms of pricing. The best thing I like about Zoho is all their software tools integrate.

4. Zoho Chat (SalesIQ). This is a chat bot tool.  This is easy to implement on any website and integrates nicely with the CRM tools. So you can have your team use this and close more sales and view the results in your CRM

5. AI Writing tools. If you havent tried AI writing tools, please give them a try. There are many AI software writing providers out there and most give you a certain number of words you can generate each month on free subscriptions. 

So here’s my hack for you on AI writing software. Sign up for several of them and combine the number of free words you get to give you a large number of free word inventory.  Most of them give you 1 or 2 thousand free words per month, so if you sign up for five free accounts, thats about 5 or 10 thousand free words you’ll have each month across the providers. That could be enough that you need.  So that’s my secret hack for you, so you cant tell anyone.

Digitize your business and Utilize cloud storage

Do you want to know what the least productive task is in your business in my opinion? The biggest time waster? Its looking for papers.  You’ve filed it somewhere, it’s in your office? Or your house, or in your laptop bag?  You have to walk across the office to the big metal filing cabinets, you get distracted on the way.  When you get there,  you find something else you lost last week and forget what you were looking for this time.  I read somewhere looking for stuff takes up to 30% of your time each day.  I would verify this fact if I were you,  but I’m thinking its pretty accurate based on my experience before we went 100% Digital. 

It takes some initial work to get this right. But if you learn how to implement a naming convention and a file folder strategy, and if you store your digitized documents in Google Drive, you can use the powerful search capabilities of Google search to find any file or document you’ve stored in seconds. Then share or send from Google Drive.

If all your receipts are scanned its easy to send to your book keeper. In fact, digitize and just share the folders.

With a digitized document,  you can now annotate and add comments, create versions and share with anyone. With DocuSign you can digitally sign and execute agreements. 

If its stored on the cloud, you can be assured now all your data is backed up and secure.  

If your business is run using online software as a service, and data is digitized and stored on the cloud, you no longer have to worry about losing a laptop or a hard drive failure.  

I’ve done many travel trips where at my destination,  I simply borrow someone’s laptop and login to my entire business.  In fact our company today can be run entirely using our mobile phones. Actually I wrote half of this blog using my phone,  using dictation software writing in a Google doc. This hack is no secret.  You can tell everyone I run my businesses using only my phone.

This simple strategy of digitizing your business and storing on Google Docs, may be your biggest productivity gain.

So please, think about this hack.

Outsource, use Virtual assistants and join a Coworking community 

As a small business owner, it’s important to delegate tasks. Give some of your work to other people to free up more time for yourself.  Try a Virtual Assistant Service

For example: rather than doing all the bookkeeping for your business, delegate to a bookkeeper.

Rather than answering all customer service calls, delegate to a customer service representative

Take advantage of technology

There are many great ways you can Outsource or use a Virtual Assistant to increase your productivity. For example:

• Use a virtual assistant to manage your calendar or planner to keep track of your schedule. 
• Use a virtual assistant to go through your data and transcribe this to your simple KPI document 

As an entrepreneur its sometimes tempting to do everything yourself. And you may say, “well I’m a solopreneur so there is only me.” 

But here is your one hack in this section.   

If your a solopreneur, find some of the above ideas to Outsource,  and use some of the freelance websites like, Peopleperhour or TopTal or Upwork.. and delegate some small tasks. 

But here is your hack. 

Get to know your outsourcing providers, do zoom calls with them and try to work closely with them. 

Like I said, it can be very small things you Outsource,  but now you suddenly have a team. Your no longer a solopreneur. 

Don’t go alone. There are many ways to do things with other people including where you work.  I definitely suggest work at a coworking space once a week and join a community. 

Keep it Simple using Google Docs. NO FORMATTING ALLOWED

I have a Google docs file I store in Drive called “TO DO”.  And basically, i write out my high level plans, my goals, my projects in very simple text. I look at this everyday, often times, staring at it for a great deal of time. These are my high level notes for everything.

I have “NO FORMATTING ALLOWED” in caps, because it is important you leave all your text unformated to leave it up to your brain and imagination for what is important or what to do. 

You don’t have to highlight tasks in yellow, others in rouge, and bold and bullet, etc.. This is nothing but a distraction.  What is easier to read?

Formatting is fun, but that’s about it.  When I see point 2 about invoicing, i dont need to format this in purple colored text to get my attention. I can quickly imagine in my brain the invoicing software we use, the lists we have to export and prepare. 

And i know when we need to do this. No purple text is needed 🙂. Just kidding.

4 HACKS TO TRAIN YOUR BRAIN. 

In the opening paragraphs of this article, I mention the first sections of hacks are meat and potatoes and the last 4 hacks are critical.

These final 4 hacks were and still are critical for me maintaining success in my entrepreneur career. This is all about how you think and how you train your brain to stay focused by using your words carefully. 

Here are my 4 most important hacks.

Create catchphrases – buzzwords for your business goals

You’re familiar with your local politician talking about their mandate or platform policies. They want to help develop an area of the city, so they are pushing to build a bridge to allow easier access. So they come up with a phrase like “Build that bridge for success”

And they say this over and over and repeat at every event. Let’s “Build that bridge for success”. The detail comes later. When people begin to agree that a bridge is needed, they begin asking about how, or what are the details.  And that’s fine. Find the details and work on them, but don’t stop burning the phrase in peoples brains. “Build that bridge for success”, the detailed plan could be to hire locally and create jobs.  

You need to find your buzzwords for your company and repeat this to your staff and team over and over. Like “Let’s go Digital”.  Or “Always be Closing”

When you’re concluding your meetings, end it with saying okay folks, remember “Let’s go Digital”  It means 30% more time for everyone. And don’t forget, “Always be Closing”. It’s like in hockey, you can’t score unless you send pucks to the net. But it’s the catch phrase that you burn into the athletes brains. “Send pucks to the net”

Come up with your catch phrases, then next step is write them out.

Write out your plans: NO FORMATTING ALLOWED

This is a repeat for one of the hacks using productivity software tools. But i would like to stress this point again. 

Keep your plans simple. Write them out in a Google Docs  And don’t format the text. Read your plans often.

So add a quick URL link or shortcut on your PC or phone and open the simple doc often. It could look like this;

OUR COMPANY GOALS

• Let’s Go Digital
• Delegate to be free

MY STRATEGY

• Always be Closing
• Dress for Success

Prioritize, Prioritize, Prioritize

Know what is important to do next in your business. What is important? cleaning up the mess of a leaking roof, or having your roof replaced and repaired? Well, that is up to you to decide and prioritize. Your time may be better spent cleaning up the small water issues and focus on keeping your tenants happy and paying rent, versus moving them out to replace the roof.  Or you have to weigh the risk of losing the tenant for the inconveniences. 

You have to prioritize and that’s how you maintain your simple list.  You write them out and move them around based on your prioritizing.

Learn and know what’s important in your business to bring in the most results. Prioritize and then execute.

KEEP SCORE

Do you keep KPI data of your business? Or key performance indicators? In other words, your score data.  These are the numbers that tell how healthy your company is and if you’re doing well or not. And they’ll help you see if anything needs to change or get fixed in order for everything to work right again. Every business has their own KPIs because every industry is different. So it’s important to choose which ones are best for yours!

No one size fits all approach will ever work in business. 

So instead of trying to find the perfect measurement, focus on finding ones that align well with what matters most to you, such as your goals and industry. 

This means understanding why you’re taking these measurements, who they’ll affect when they’re out of whack, and how often they need to change (daily or monthly). 

As such, here are a few blogs that provide some indicators every small business needs to give you some ideas.

Some KPI’s that have always been important to me over time is the cost of acquiring a customer (CAC) and the life time value of that customer (LTV). These are important ones to figure out in your business, because it will provide you with a marketing budget.  

If you know what it costs to acquire a customer, say $500. Then what is the life time value of that customer? I know, simple math, but the LTV needs to be more than your CAC. 

In my experience I’ve met alot of entrepreneurs who do not know these two KPI’s that should be on the tip of their tongue or easily discussed in any conversation without having to refer to notes or files.

So decide with your team which KPIs you want to track together and record this data in a simple Google sheet. Remember,  keep the data simple, and NO FORMATTING. 

CONCLUSION

As an entrepreneur and business owner, productivity was essential to my success at staying an entrepreneur for over 25 years. But it wasn’t easy, it can be hard to find the proper techniques to help you stay focused and get things done. 

I hope some of these hacks can work for you and save you some time, money and happiness.
